How to Book Meeting Room via Outlook
Objective
This article explains how APU staff can book a meeting room using Microsoft Outlook.
Scope
This guide applies to APU staff using their institutional Microsoft 365 Outlook account to schedule meetings and reserve available rooms.
Overview
Microsoft Outlook allows staff to reserve meeting rooms when creating a calendar invitation. Staff can use Scheduling Assistant and Room Finder to check room availability and choose a suitable room.
Please note that most meeting rooms at APU are subject to moderator approval. This means that submitting a booking request in Outlook does not automatically confirm the room reservation. In most cases, the booking must first be reviewed and approved by the designated moderator. In addition, moderators may cancel or decline a booking if necessary, for example due to priority use, scheduling conflicts, policy requirements, or operational reasons.

Approval and Confirmation of Booking
After sending the invitation, please note the following:
Most rooms require moderator approval before the booking is confirmed.
A room request in Outlook should be treated as a booking request, not an automatic confirmation.
You should check the meeting response status in Outlook to confirm whether the room has been accepted, declined, or is still pending approval.
Moderators reserve the right to cancel an approved booking if necessary, subject to operational, academic, administrative, or priority requirements.
For this reason, staff are advised not to assume that a room is fully secured until approval has been received.
Important Notes
1. Booking a room does not guarantee confirmation
Even if a room appears available when you make the request, the reservation is only confirmed once it has been approved, where applicable. For APU, most rooms are moderated and therefore subject to approval.
2. Moderators may cancel a booking when required
Approved bookings may still be cancelled by the room moderator if there is a valid need, such as:
priority institutional use,
operational changes,
scheduling conflicts,
maintenance issues,
non-compliance with room usage rules.
3. Use Scheduling Assistant when possible
Scheduling Assistant helps you identify a time that works for both attendees and meeting rooms, reducing the chance of conflicts.
4. Cancel rooms that are no longer needed
If your meeting is cancelled or rescheduled, please update or cancel the Outlook invitation promptly so that the room becomes available for other users.
Troubleshooting
The room does not appear in Outlook
Possible causes include:
The room has not been configured as a room resource.
You do not have permission to book it.
The room list is not displaying correctly.
The room cannot be booked or is not confirmed
Possible reasons include:
The room is already reserved.
The requested time overlaps with another booking.
The room is pending moderator approval.
The moderator has declined the request.
The room is restricted to a specific department or user group.
My room was cancelled after approval
In some cases, moderators may cancel an existing booking due to operational or institutional priorities. If this happens, please review the meeting response in Outlook and arrange an alternative room or time slot.
Good Practice
To help ensure fair and efficient use of shared meeting rooms, staff are encouraged to:
book only the room size they need,
use clear meeting titles,
avoid making unnecessary placeholder bookings,
release rooms as soon as they are no longer required,
check room confirmation status after sending the invite,
avoid assuming a room is confirmed until moderator approval is received.
