What happens to my Office365@APU including emails and office applications after I graduate?

As a student at APU, you may have availed the privilege of utilizing Microsoft 365, which includes apps like Word and Excel for your personal devices and OneDrive for online file storage. This access has been made possible due to the institution's acquisition of licenses, enabling students and staff to use these services free of charge.

However, it is crucial to be aware that this access will undergo changes upon your departure from APU. After your official graduation date, which is indicated on your diploma or degree, your access to all Microsoft 365 applications, including Outlook, OneDrive, and Teams, will be revoked, leading to the unavailability of your files and emails. To retain access to Microsoft 365 beyond this point, you will have the option to subscribe to the service directly from Microsoft.

In the event that you do not intend to purchase a subscription to continue using Microsoft 365, it is highly recommended that you take proactive measures to safeguard your files. This entails downloading all your files from OneDrive@APU and Outlook@APU and storing them securely elsewhere.

Ensuring the proper management of your files and subscriptions is imperative for maintaining the continuity of your digital assets and communication channels.


What changes at graduation?

  • Access ends: Alumni access to Microsoft 365 (Outlook, OneDrive, Teams, Office apps) has been discontinued under Microsoft’s updated education licensing.

  • Why this change: Microsoft retired Office 365 A1 Plus for Education that used by alumni.

  • Data deletion: When your APU Microsoft 365 account expires, all data is permanently deleted (emails, OneDrive files, Teams content). There is no recovery.

What you must do (before your course completes)

  1. Back up your OneDrive files

    • Click here for guidelines

  2. Save important emails

    • Forward critical emails/attachments to a personal account, or export mail using your preferred mail client (e.g., Outlook .pst).

  3. Move shared content

    • If you own shared files (e.g., in Teams/SharePoint), transfer ownership or share from your personal account to collaborators as needed.

  4. Transition your primary email

    • Update services, resumes, and contacts to a personal email address (e.g. Outlook.com, Gmail, Yahoo) for ongoing communications.

After graduation

  • If you wish to continue using Microsoft Office apps, you can purchase a personal Microsoft 365 subscription from Microsoft or an authorized reseller.

Backing up your OneDrive data is easy. Here are the steps:

Step 1: Login to Microsoft 365 on the web (https://portal.office.com ).

Step 2: Go to the app launcher.

Step 3: From the Apps list, select “OneDrive”:

Step 4: On the main screen of the OneDrive web application, select “My Files”:

Step 5: Select the folders or files you want to download, then Click the Download button. The files will be saved to the Downloads folder on your computer in a .ZIP format.

Alumni may purchase Home or Personal Office subscriptions directly from Microsoft.

Google Docs and OpenOffice provide free options for Office-type applications.
