Request monitors procedure

Procedure Overview

This procedure outlines the criteria and procedure for APU staff to request monitors. The goal is to ensure that such requests are justified and support the APU’s commitment to cost optimisation and operational efficiency.

Eligibility Criteria

All requests for additional monitors must meet one of the following criteria:

  1. Health and Mobility Needs:

    • The request has been previously approved by HR for vision, health, or mobility issues.

  2. Operational Requirements:

    • The request is for an individual who spends at least 90 percent of their time on a computer connected to the monitor, such as Admin staff.

Justification Requirements

For operational requests, the requester must provide a written and detailed explanation that justifies the potential cost optimization. The explanation must demonstrate examples of at least one of the following scenarios:

  1. Multiple Application Usage:

    • The individual must have at least four open and running computer applications while needing to maintain visual contact with two or more of those applications simultaneously.

  2. Specialized Program Usage:

    • The individual works with specific programs that are tailored to dual monitors, such as:

      • Document imaging

      • Graphic design programs

      • Multiple open spreadsheets

      • Application or website programming and development

      • Hardware systems monitoring (e.g., HVAC, electrical, networking, etc.)

  3. Customer Interaction:

    • The individual works with customers (e.g., students, staff, etc.) within a high-traffic area where information is required from two places simultaneously. The potential exists that customers would need to wait while the information is retrieved without an additional monitor.

Request Procedure

  1. Submission:

    • The requester must submit their request through the APU 's helpdesk at assist@apu.edu.my , providing all necessary documentation and justification as outlined above.

  2. Review:

    • HR will review requests related to health and mobility needs.

    • The Technology Services will review operational requests to ensure they meet the specified criteria.

  3. Approval:

    • Approved requests will be processed and implemented by the IT department.

    • If a request is denied, the requester will receive a detailed explanation and may be offered alternative solutions.

Implementation

Once approved, the additional monitor will be provided and set up by the IT department. The staff member must ensure proper use and care of the equipment, adhering to APU's technology use policies.
