If you have been using Microsoft 365@APU as a student at APU, you may have downloaded Microsoft apps like Word and Excel to your own computer or devices, or you may be using OneDrive to store files online. You are able to do this because we have purchased a license for our students and staff to use it all for free.

This access will change when you leave APU. However, your Microsoft 365 You will remain as part of the active APU student group for approximately 1 year after your official graduation date, meaning your access to email and IT Services stays as it was while you were a student on a temporary basis. The “Official graduation date” refers to the date printed on one's diploma/degree, not necessarily the date of commencement. When this expires, you will then have no access to all Microsoft365 applications, including Outlook, OneDrive, and Teams - you'll not be able to access and read your files and emails. Of course, if you want to keep using Mirosoft365, Microsoft will offer you the option to continue on the same basis as before once you have purchased a subscription. But you must transfer all your files from OneDrive@APU and Outlook@APU to the new Mirosoft365 subscription before your Mirosoft365@APU expires.

If you do not intend to purchase the subscription to continue using Mirosoft365, we recommend you download all your files to keep them safe elsewhere.


Backing up your OneDrive data is easy. Here are the steps:

Step 1: Login to Microsoft 365 on the web.

Step 2: Go to the app launcher and select OneDrive.

Step 3: Select the folders or files you want to download, then Click the Download button. The files will be saved to the Downloads folder on your computer in a .ZIP format.

Given that it is difficult to know how Microsoft may change its licensing in the future, we recommend transitioning your primary email to a personal email account (Gmail, Yahoo, Outlook) or at least having a secondary email account as a backup.

Alumni may purchase Home or Personal Office subscriptions directly from Microsoft.

Google Docs and OpenOffice provide free options for Office-type applications.
