If you have been using Office365@APU as a student at APU, you may well have downloaded Office apps like Word and Excel to your own computer or devices, or you may be using OneDrive to store files online. You are able to do this because we have purchased a licence for our students and staff to use it all for free.
This access will change when you leave APU. However, your Office365 You will remain as part of the active APU student group for approximately 1 year after you graduate, meaning your access to email and IT Services stays as it was while you were a student on a temporary basis. When this expires, you will then have no access to all Office365 applications including Outlook, Onedrive, Teams - you'll not be able to access and read your files and email. Of course, if you want to keep using Office 365, Microsoft will offer you the option to continue on the same basis as before once you have purchased a subscription. But you must transfer all your files from your onedrive@APU and Outlook@APU to the new Office 365 subscription before your Office365@APU expires.
If you do not intend to purchase the subscription to continue using Office 365, we recommend you download all your files to keep them safe elsewhere.
Backing up your OneDrive data is easy. Here are the steps:
Login to O365 on the web
Go to the app launcher and select OneDrive
Select the folders or files you want to download, then click the Download button. The files will be saved to the Downloads folder on your computer in a .ZIP format

Given that it is difficult to know how Microsoft may change its licensing in the future, we recommend transitioning your primary email to a personal email account (Gmail, Yahoo, Outlook) or at least having a secondary email account as a backup.
Alumni may purchase Home or Personal Office subscriptions directly from Microsoft.
Google Docs and OpenOffice provide free options for Office-type applications.
