AIDA: AI Digital Assistant
AIDA is APU’s AI-powered Digital Assistant that enables students and staff to obtain accurate university information instantly through a simple chat interface.
The system intelligently retrieves answers from APU’s official Knowledge Base, ensuring that all responses are reliable, up-to-date, and aligned with university policies and procedures.
This guideline provides step-by-step instructions on how to access and use AIDA effectively to find information related to academic matters, administrative processes, fees, enrollment, IT support, library services, visa information, and more.

How to access AIDA?
Step 1- Open APSpace, tap the AIDA icon on the dashboard, and log in with Microsoft using your APKey.
Alternatively, access AIDA directly via: https://aida.apu.edu.my
Step2-After successful sign-in, you will be redirected to the AIDA chat interface.
What can AIDA help me with?
AI Chat Assistance:
Ask questions in natural language through the chat interface. AIDA will provide accurate responses together with links to the relevant official source articles for reference and verification.
Examples of questions you can ask:
How do I pay my tuition fees?
How do I renew my student visa?
How do I access the library resources?
How do I get IT support?
What is the exam schedule?
How do I access APSpace?
Timetable Lookup
You may request your weekly class schedule by providing your intake code. AIDA will retrieve and display your timetable details accordingly.
Examples of questions you can ask:
What is my timetable for intake APD1F2511CS?
Show my timetable for this week.
What classes do I have next week?
The response will include the following information:
Day and Time: e.g., Monday, 08:30 – 10:30
Module: e.g., Software Engineering
Room/Venue: e.g., B-05-03
Lecturer: e.g., Dr. Smith
Group: e.g., G1
Source citations
Every AI response includes numbered source links such as [1] and [2]. You can select these to open the full official article on the APU Knowledge Base.
Chat History
AIDA allows you to manage your past conversations efficiently through the following features:
Search: Search through previous chat sessions.
Rename: Rename any chat session for easier identification and reference.
Export: Download a chat conversation in JSON format.
Delete: Remove any chat session manually.
Auto-Delete: Chat sessions are automatically deleted after 7 days.
Appearance and settings
You can manage appearance and other options from the user menu by selecting Settings in the sidebar.
Settings Options:
Dark Mode: Switch between light and dark themes.
Accent Colour: Choose from multiple colour themes.
Export Chat History: Download all your chat sessions.
Quick Access Links: Use shortcuts to open APSpace, change your APKey password, or access the APU Knowledge Base.
Feedback
Rate AI responses using the thumbs up or thumbs down buttons.
Submit general feedback via Settings → Submit Feedback.
Report technical issues or bugs via Settings → Report an Issue.
Usage limits
Daily message limit
To ensure fair usage for all users, there is a daily message limit. Once you reach this limit, you will see a notification and can resume using AIDA the following day.
Session and security
Sessions expire after a period of inactivity, and you will be prompted to sign in again.
All authentication uses Microsoft single sign-on (Azure AD); AIDA does not have access to your password.
Chat history is stored securely and is automatically deleted after 7 days.
Why am I unable to sign in to AIDA?
Ensure you are using your APKey (Microsoft) user name and password same as APSpace and Moodle. If the issue persists, clear your browser cache and try signing in again.
What should I do if my AIDA session has expired?
Sessions expire after a period of inactivity. Select Log in with Microsoft to re-authenticate and continue using AIDA.
Why is my timetable not found in AIDA?
Verify that your intake code is correct (e.g., APD1F2511CS) or the timetable for the requested week may not have been published yet.
What does it mean if I have reached the daily message limit?
AIDA has a daily message limit to ensure fair usage. Wait until the next day for your quota to reset.
How can I report an incorrect answer from AIDA?
Use the thumbs down button on the response and submit feedback. The team will review and improve the content accordingly.
