Objective

This form will be designed so that students can request a completion letter or a special completion letter, which the admin can then review and either approve, reject, or request clarification.

Getting Data from APU API

Get the student details & information from the APU API

Admin can choose the letter type and intake code

The system will collect the students who are eligible within the intake code that the admin selected.

Admin sent the Completion Letter or the Special Completion Letter in bulk or one by one

The admin can send either a Completion Letter or a Special Completion Letter individually to students or in bulk to all eligible students within the intake code.

Check eligible

The Student must be eligible to access and fill out the form. If the Student is not eligible, a pop-up message will be displayed: "Dear Student, You are not eligible to fill up this form. Please contact your Programme Administrator at admin@apu.edu.my.” In this case, the form fields will be disabled, and the Student will not be allowed to enter any values.

Automatic Input Form

The form will be automatically assigned based on the Student's information. The Student is only required to select the letter type and collection method.

Admin can choose the date when approving the letter

Completion Letter: Admin can choose Programme Completed Date and Certificate & Transcript's Release Date

Special Completion Letter: Admin can choose Programme Completed Date and Certificate & Transcript's Release Date

Collection Method

If the Student selects "Hard Copy" as the collection method, they will receive an email with instructions on where to collect the letter and also a soft copy of the letter. If the Student selects "Soft Copy", the completed letter will be sent directly to their email.

Letter Type

Completion Letter =Before a student can receive this letter, the system will verify the Student’s status. If the status is marked as ‘Completed’, the Student will be eligible to receive the Completion Letter

Special Completion Letter = The system will check the student status, if the student status is ‘Active’, then the Student will receive a special Completion letter

Process Status

  • Classification: If the admin selects "Classification" the Student is required to resubmit the form by following the remarks or instructions provided by the admin.

  • Approve: If the admin sAdmins "Approve", the StudentAmi will receive the official letter via email.

  • Reject: If the admin selects "Reject", the request is declined, and no letter will be issued to the Student.

History of Letters Sent by Admin

When the admin sends the Completion Letter and Special Completion Letter, it will be kept in the history table, so that the admin can review the letters they sent

Admin is able to edit the history

The admin can edit the Completed Date, Certificate & Transcript Release Date, and Graduation Day. They can also print the document with or without a cover

When students request a hard copy, the admin can able to print the Completion Letter and Special Completion Letter with or without the cover

A.Notify the Student when submited a Completion Letter

The Student can request a Completion Letter or Special Completion letter from the Completion Form, and a receipt will be sent to the student so that the student will know they have already submitted a request for a completion letter, and the admin will notify a new request too.

C. Email Rejection Reason

When the admin rejected the student’s request

Rejection Message to be emailed to the requester:

Dear Student,

Thanks for using our online Completion Letter request through APSpace > e-Forms.

Your request with the ID {REQUEST_ID} has been rejected.

D.Send Special Completion Letter

The Special Completion Letter will be generated as a PDF file, attached to an email, and sent by the admin team so that the student can download it

E. Completion Letter

The Completion Letter will be generated as a PDF file, attached to an email, and sent by the admin team so that the student can download it
